Activities Updates

2006 Tetrathlon International Exchange
July 26 - August 11, 2006

International teams of four boys and four girls from USPC, will join teams from England, Ireland, and Canada at the Virginia Horse Center in Lexington, VA for the USPC Championships competition, then move to Bethany College in West Virginia where the teams will spend 2 days doing fun activities followed by a scramble team "Wild Man" Tet competition. The teams will then travel on to Canada to compete in the Canadian Championships. The exchange begins July 26, 2006 at the Virginia Horse Center and ends in Canada on August 11, 2006. 2006 Tetrathlon International Exchange Application

This is a PRELIMINARY announcement of the:
2006 International Foxhunting Exchange

Location:  Northern Virginia

When:  late November, early December

Duration: 8-10 days

Eligibility: designed as a reward for active Pony Club members who are experienced foxhunters

You must …
--be 16 years of age by January 1, 2006 and no older than 25
--be rated C-3 or higher
--have strong foxhunting experience
--provide recommendation letters from MFH and DC
--complete application and sign code of conduct(to be posted on USPC website soon)

Closest airport:  Washington Dulles 

Besides hunting nearly every day, activities during exchange to tentatively include:
--Sightseeing in Washington, DC
--Shopping and sightseeing in Middleburg
--Steeplechase farm tour
--National Sporting Library tour in Middleburg

Membership Reminder

Important Reminder to all DCs/RSs:

When submitting any Participating Membership, said member SHALL NOT participate in any way until complete, correct paperwork, along with appropriate dues are RECEIVED in the USPC office.  If there is any doubt whether or not Member is eligible for participation, please contact Member Services 859-254-7669 or memberservices@ponyclub.org for verification.  It is recommended that membership paperwork and dues are mailed well in advance or that they be mailed by a track-able method.  USPC is not responsible for delays caused by US Postal Service or other delivery methods.

At any time throughout the year, a DC or RS may request a roster for the Club or Region to verify USPC membership records. Simply submit your request to Elaine at memberservices@ponyclub.org or by calling 859-254-7669, ext. 232.

Additionally, please remember that according to the USPC D Standard of Proficiency, members must join at least one month PRIOR to attempting a rating.  See "Requirements for Candidates (D1 through D3)" for more information.

Notice to Club Leaders:

Insurance Coverage for 2006

Leaders, now is the time of year when we remind you about our procedures for making sure your Pony Club’s activities are properly covered by USPC’s insurance.  You need to list ALL locations and dates of Pony Club activities for there to be coverage in place.  This is one of the conditions of our insurance coverage. All dates and locations must be declared prior to the activity taking place.
 
You can list your locations one of two ways:  by going online and recording your locations and landowners, or by the old-fashioned paper document.  The annual insurance packet will be coming out soon for all club leaders, but all the information is available at our website,
www.ponyclub.org under "Forms" then "I" for insurance.

We strongly urge all leaders to use the online site for recording your locations and landowners.  This saves mountains of paperwork for both the USPC Office and Equisure!  Use this link: https://ponyclub.org/insurance-request.php or scroll down under "What's New" on our homepage. If you have never used the site before, scroll down on the Insurance Request page and fill in your information first, including the email and password you will use to access your club's information.  Repeat users need only click on the big blue star to enter the site.  If you are having trouble with this site, or have questions about insurance, please contact Karen Winn, USPC Finance Director at: mainoffice@ponyclub.org or by phone 859-254-7669, ext. 230. 

For 2006, the online system will still be priced at $10 per site.  However, be aware that if you will be sending your List of Locations in on the paper document the cost will be $15 per site in 2006.  This is due to the tremendous amount of processing for both USPC and Equisure for these paper documents.

If you choose the online system, you can re-enter the site by logging on and edit the dates of your activities at any time.  USPC and Equisure will automatically receive your updates and your events will be covered.

Also available online is the opportunity to print a "proof " of insurance (so your landowner will know USPC has liability coverage) and coming soon the ability to directly print a certificate of insurance (adding the landowner to our policy).  You will no longer need to wait to get your certificates from Equisure!

To add dates of activities if you have initially added sites by paper document, we will need to receive a FAX or email prior to your activity stating the REGION, CLUB, LANDOWNER, and DATES of the activity.  Those emails can be sent directly to: mainoffice@ponyclub.org .
 
The additional optional  accident/ medical coverage required for activities in which non-Pony Club members will be taking part (for instance open clinics or fundraising horse shows) is unfortunately NOT available online.  You must submit these applications directly to Equisure.  As anticipated, the rate has increased slightly to $37 per day.

REMINDER TO TREASURERS:

The 2005 Cash Receipts and Disbursements Report is due to the USPC Office by February 15, 2006.  Click here to access this report.  If you use a computerized accounting program for your club, it is acceptable to send a 2005 Income Statement, and Balance Sheet as of 12/31/05 in place of the USPC form.  If your club is required to file Form 990 with the IRS (over $25,000 in gross income for the year), please send a copy of your 990 to the USPC Office for our records.  Contact Karen Winn (mainoffice@ponyclub.org) at 859-254-7669, ext. 230 if you have any questions about these reports.
