Your privacy is important to us.  This Online Privacy Policy explains how The United States Pony Clubs, Inc., collects, uses, and discloses personal information about our members, prospective members, and visitors to our website at www.ponyclub.org.

COLLECTION OF PERSONAL DATA
Information collected directly from you: USPC may collect personal information directly from you, for example through an online application, web form, during event registration, while setting up an online account with USPC, when you contact USPC for support, or at checkout of Shop Pony Club. Personal information we collect directly from you may include first and last name, address, email address, phone number(s), and date of birth.

Information collected from your device: Our website(s) may use technologies such as cookies, web beacons, pixels, and other similar technologies to automatically collect certain information from your device including, for example, your IP address, date and time of your visit, browser and operating system information, referring website address, and other information about how you interact with the website(s). Our website(s) may also use cookies and similar technologies to enhance your user experience and enable certain features. Our email campaigns may also use tracking technologies such as web beacons, pixels, and other similar technologies to automatically collect certain information such as your IP address, browser type and version, and email engagement statistics.

Information collected from our partners: USPC may collect other personal information about you from our third-party partners and combine it with other information that we collect. Personal information we collect from our partners may include, for example, your demographic information, website page view history, or geographic location.

USE OF PERSONAL AND NON-PERSONAL INFORMATION
Non-personal information: This site is owned and managed by USPC. Our “Website” automatically receives and records information on server logs from your browser, including your IP address and the page(s) you requested. We analyze this data for trends and statistics, but the individual user remains anonymous. This information is for internal use only and for improving your experience on our site. We do not share this non-personal information with any third parties.

Personal information: USPC collects personally identifiable information from our members and volunteer leaders, such as name, mailing address, email address, telephone number, and parental information on the Membership Application that must be submitted in connection with an application for membership.  We provide local, regional, and national leaders lists of members which includes personally identifiable information of the members and their parents.

On a limited use basis, USPC shares a parent and/or adult member mailing list with USPC Corporate Sponsors for mailing information about products or services to its members. If you do not wish to receive this information, you may notify USPC, and we will delete your name from the mailing list.

USPC may share personally identifiable information about our alumni in an alumni directory, which will be made available to our club, center, and regional leaders for use in soliciting volunteers for USPC events. If you do not wish to be included in an alumni directory, you may notify USPC. Your information will not be included.

USPC does not normally disclose personally identifiable information to anyone outside of USPC unless we have previously informed users about the disclosures. However, some information may be used from time to time by outside auditors, consultants, and others hired by USPC to assist in carrying out financial or operational activities. We permit these uses only when necessary to manage the website(s) and its records, or for another specific purpose consistent with this Privacy Policy. All recipients must agree in writing to safeguard personal information, to use it only for an authorized purpose, and to return it or destroy it upon completion of the activity.

USPC may give other companies access to our information database, but only if necessary to allow them to provide database or server maintenance or security, help us process and fulfill orders or requests, or provide other similar services to USPC. If we do provide access, we require those other companies to sign confidentiality agreements promising to keep secret any information they see.

USPC may also disclose personal information if we believe that the disclosure is required by law, or in response to a legal request.

This website contains links to other sites. Please be aware that we are not responsible for the content or privacy practices of such other sites. We encourage our users to be aware when they leave our site and to read the privacy statements of any other site that collects personally identifiable information.

USPC may request information via surveys or contests. Participation in these surveys or contests is completely voluntary and you may choose whether to participate and therefore disclose this information. Information requested may include contact information (such as name and shipping address), and demographic information (such as zip code, age level). Contact information will be used to notify the winners and award prizes. Survey information will be used for the purpose of monitoring or improving the use and satisfaction of this site.

DISCLOSURE OF PERSONAL INFORMATION
USPC may share the information we collect with other parties, including the following:

  • With third-party service providers to assist us with providing and marketing our products and services, such as payment processors, data hosting services, analytics services, online store support, advertising partners, and email service providers.
  • With Constant Contact, to send email marketing and text message communications.   • With any affiliates or joint venture partners that we may have in the future.

We may share information that has been de-identified or aggregated without limitation.

Our website(s) may offer interactive features, such as the ability to leave reviews, that you can use to communicate with other website visitors or to submit and post your own content. If you disclose information in one of these forums, this information can be viewed, collected, and used by others.

DIGITAL ADVERTISING & ANALYTICS
USPC works with third parties that collect data about your use of our website(s) and other sites or apps over time for non-advertising purposes. We use Google Analytics and other third-party services to improve the performance of the website(s) and for analytics and marketing purposes. If you wish to unsubscribe from our email campaigns, please click on the Unsubscribe link at the bottom of any marketing email sent from us. If you opt out of our email marketing, we may still send you messages related to other membership communications.

YOUR PRIVACY RIGHTS
The security of your personal information is important to us. We maintain physical, electronic, and procedural safeguards to secure your personal information.  Member accounts established on our website(s) are secured by member-created passwords. We take precautions to ensure that member account information is kept private. We use reasonable measures to protect member information that is stored within our database, and we restrict access to member information to those employees and volunteer leaders who need access to perform their job functions, such as our office staff and national, regional, and local volunteer leaders.

Please note that we cannot guarantee the security of member account information. Unauthorized entry or use, hardware or software failure, and other factors may compromise the security of member information at any time. Children Under 13
USPC operates our website(s) in compliance with the Children’s Online Privacy Protection Act (“COPPA”). COPPA requires that we inform parents about how USPC collects, uses, and discloses personally identifiable information from children under 13 years of age (“children” or a “child”), and that we obtain the consent of a parent or legal guardian for children to use certain features of our website(s). We strongly encourage children to not provide any personally identifiable information on our website(s) without the knowledge and permission of a parent or legal guardian.

1. What type of information is collected from children and how does USPC use/share the information?

Children, and others, can surf, research, and view content on USPC’s website(s) without providing any personally identifiable information. USPC’s practices regarding the collection, use, and sharing of personally identifiable and non-personally identifiable information from children are, except as identified below, the same as with those 13 years of age or older.

If an activity involves collecting personally identifiable information from a child, it will be limited to the collection of the name, address, and date of birth of the child, along with the information directly tied to participating in the activity (for instance, a child’s opinion on a particular subject, recollection of an event, etc.). However, we do not and may not require that children provide more personally identifiable information than is reasonably necessary to participate in the activity.

The personally identifiable information collected is used to communicate with the child about the activity (e.g., provide notice, respond to requests, etc.), and is consistent with the terms USPC provides when the information is initially collected. This information may also be used by USPC or shared with our parent, subsidiaries, and affiliates to provide additional information about USPC, send offers, or for other promotional or marketing purposes (collectively “Marketing”). Parents may always direct USPC (by contacting us as provided below) not to share their child’s personally identifiable information with these parties or not to use the information for Marketing.

Please note that for many activities that contemplate public disclosure of information collected from a child, USPC takes reasonable steps to preserve the child’s anonymity – i.e., limit the information shared so that others cannot identify or contact the child. However, this may not be possible or compatible with certain activities, such as participation in forums, postings on message boards, or online chats. Prior to allowing a child to participate in these types of activities, we strongly encourage parents to establish ground rules with the child to preserve the child’s anonymity and privacy.

2. How does USPC notify and obtain consent from parents?

Before USPC collects any personally identifiable information from a child or allow to access areas of the website where he/she can post personally identifiable information, USPC requires consent from the child’s parent or legal guardian to use the website(s).

USPC obtains parental consent through the USPC membership or renewal application, where a parent or legal guardian must agree to this Privacy Policy and our website’s Terms of Use individually and on behalf of their child. During this application process, a parent or legal guardian can allow a child access to the website(s) by providing USPC a username and password to be used by the child when accessing the website(s).

USPC may in the future offer other means for parents or legal guardians to provide consent for their child’s use of our website(s), but all such instances will require the parent to initially register the child’s online access and consent to this Privacy Policy and the website’s Terms of Use.

3. How can a parent access, change or delete personally identifiable information about their child?

At any time, a parent or legal guardian can refuse to permit USPC to collect additional personal information from their child, review the personal information USPC has collected, or request that their child’s information be deleted from our database. To do so, a parent must contact USPC as provided below. Parents may also use this contact information if they have any questions or concerns.

Contact us as at executivedirector@ponyclub.org if you:
a) have questions or comments about our Privacy Policy,
b) wish to make corrections to any personally identifiable information you have provided,
c) wish to opt-out from receiving future commercial correspondence, including emails, from USPC,
d) or wish to withdraw your consent to sharing your or your child’s personally identifiable information with others.

We will respond to your request and, if applicable and appropriate, make the requested change in our active databases as soon as reasonably practicable. Please note that we may not be able to fulfill certain requests while allowing you access to certain benefits and features of our website(s), and that USPC may ask your child not to participate in our activities if personal information is unavailable.

UPDATING YOUR INFORMATION

When you have an account with us, you may review, change, or update your contact information by logging into your account.

CHANGES TO THIS PRIVACY POLICY

USPC may update this Privacy Policy at any time. Please review it frequently.
